What to Expect

For parents: Being a parent is a fun and fulfilling experience, but it can also be confusing and challenging at times. If you are experiencing concerns regarding your child’s development, it is important to check in with your pediatrician or family physician.

Your pediatrician may recommend that you seek additional evaluation(s) to assess your concerns and to seek support from therapists. Your PCP (primary care provider) will send a referral to the therapists requesting the evaluation(s) be completed for your child. Aspen Grove currently only offers occupational therapy. Other therapists may include Speech Therapists (SLPs), Physical Therapists (PTs) and/or counselors that can be an integrative part of your child’s team. Children may see one or all of the listed therapists. Therapists may or may not recommend services; therapy may even be recommended to be short term. For example, your child may attend 1x/week for 6 weeks. Therapy services may also be long-term. Examples of when long-term services may be recommended are when children have been diagnosed with Autism, were born with a genetic disorder, are transitioning from a g-tube to oral feeding or when there were complications at birth. Being a part of your child’s therapy is important and parent coaching can be integral to your child’s success. What happens between appointments is very important, even more important that what happens during a session.

After the referral is received, our scheduler will contact you to ask you some basic questions regarding the referral and to let you know if we are able to schedule you immediately. At times, there can be wait lists. We encourage you to contact us to make sure we received the referral and to check in regarding our waiting list.

The more flexibility you have with your schedule, the easier and faster we can schedule your child. Typically, we try to schedule your appointment for the same day and time each week, but we may be able to get you in faster if you can be flexible and move into our cancellation spots weekly until a permanent opening is available. Some insurances require preauthorization so there may also be a short 1-2 week delay in scheduling until all the paperwork has been completed and we have received the preauthorization. Currently, we are not taking any more Medicaid clients, unless it is the secondary insurance. We accept most other insurance for direct OT services provided in Montana. Currently, we are only taking private pay in West Virginia for online clients, but a referral for OT specific services is still needed. We do not require an OT referral for parent coaching services.

Services for Adults: If you are seeking OT related services that may also integrate yoga and integrative health coaching and want to bill insurance, a referral from your PCP is required (fax: 406-924-7292). We can provide a “superbill” if you want to private pay and submit the superbill to your insurance. However, this is not a guarantee for payment. Same day, private pay can be more affordable when you have a large deductible. Your referral must include “occupational therapy” and diagnosis code(s).

Yoga Therapy: This is a more affordable option for integrative health coaching and yoga therapy services. Your first session will be charged when scheduling your appointment and then subsequent payments will be taken the same day as your sessions. You can schedule online for your initiation session and then with Karen for follow-up sessions. Additional cost for formal documentation. No referral is needed and there does not need to be diagnosis codes. HSA and FSA payments accepted.

    Although we realize that receiving therapies after school and after work are ideal, it is difficult to accommodate everyone’s scheduling preferences. We will be able to get your initial evaluation and subsequent therapies scheduled if you have more flexibility.

  • If you have questions regarding your insurance coverage, please contact us so that we can call and request additional information. It is your responsibility to let us know of any insurance changes as soon as you are able. We are not currently accepting any more Medicaid clients unless it is your secondary payer. Your policy may require preauthorization for subsequent sessions to the evaluation.

  • You can make a credit card or check payment with our administrative team at our office. We appreciate your prompt and timely payments. Credit card payments have a 4% service charge. There is no fee for HSA or FSA cards. Venmo and Paypal coming soon!
